What we collect

When you book or ask for a quote, Knotty Games collects your name, email, phone number, event and delivery address, the games you choose, and any files you upload. If you give them, we also keep your company name, your billing name and address, and the name and phone number of your contact on the day. If you create an account, we keep the details you save in it. Card payments are handled by Stripe; we never see or store your card number.

When you sign the rental agreement online, we keep a record of it: the agreement as you saw it, your typed name, the date and time, your IP address and your browser. If you sign on paper, we keep a scan of the signed copy.

We also keep notes our staff write about bookings and customers, and a record of each email we send you and whether it was delivered.

Why

To deliver and collect your rental, send your confirmation, invoice and reminders, take payment, and keep the records the law requires. We do not sell your information or use it for advertising.

Who else sees it

Only the services that run this site: Supabase (secure data storage, in Montréal, Canada), Vercel (website hosting, run from Montréal), Amazon Web Services (email, sent from Montréal) and Stripe (payments, processed in the United States). At checkout, Vercel also checks that a person, not an automated script, is booking. If you sign in with Google, Google confirms who you are. Mimlet, which builds and runs this booking system for Knotty Games, can see these records to keep it working.

Cookies

We use only the cookies the site needs to work: keeping you signed in to your account, the check at checkout that you are not an automated script, and Stripe's fraud checks during payment. No tracking or advertising cookies.

How long we keep it

Booking and payment records are kept as long as tax law requires. Signed agreements, with the IP address and browser recorded with them, are kept as evidence of the rental contract. A checkout that is never paid is deleted, with its signature, a week after it lapses. Staff notes and the record of emails are kept with the booking records. Uploaded files are kept with your booking unless Knotty Games sets them to delete automatically a set time after your event, and are deleted sooner on request. Other IP addresses are kept briefly to prevent abuse.

Your choices

You can ask to see, correct or delete your information at any time by emailing info@knottygames.ca. A signed agreement is kept as evidence of the contract, so it cannot be deleted.
